Job Description
AHL Group Plc invites applications from suitably qualified candidates to fill the position of Administration Assistant at its Corporate Office in Lilongwe.
Position function
Reporting to the Human Resources and Administration Manager, the overall function of the Administration Assistant is to perform a range of administrative and office support roles to ensure the effective and efficient accomplishment of AHL Group Plc’s strategic goals and objectives.
Main Duties and Responsibilities
The main duties and responsibilities of the Administration Assistant will include the following:
- Performing secretarial duties such as taking minutes, drafting, typing, editing, printing, photocopying, among others.
- Managing the filing system for personal and departmental files, updating leave records for members of staff and ensuring the security of the filling system
- Providing administrative assistance during meetings, appointments and making travel arrangements for senior managers
- Monitoring and controlling usage of office equipment and ensuring that they remain functional at all times.
- Managing the front-line office by receiving and affending to visitors, manning incoming and outgoing correspondences for the department among others.
- Assisting with the preparation of documentation for recruitment and selection processes.
- Assisting with the preparation of board papers and administration of Board Meetings.
- Supervising messengers and cleaners to ensure cleanliness of the offices and surroundings and seamless circulation of internal mails.
- Assisting with the acquisition of various company items by preparing order forms and purchase requisitions regularly.
- Perform any other related duties which may be assigned from time to time.
Qualifications and Attributes
- Diploma in Business Administration/Management from a recognized institution.
- Diploma in Secretarial Studies
- Malawi School Certificate of Education (MSCE)
- At least 3 years’ experience working in a busy office
