Administrative Assistant
The University of Blantyre Synod invites applications from suitably qualified candidates to fill the existing position of Administrative Assistant.
Qualifications
Bachelor of Business Administration, Public Administration or its equivalent plus 3 years’ experience of working in a higher education institution.
Duties shall include the following:
ADMINISTRATIVE ASSISTANT FOR THE FACULTY 1. Administrative services a. Providing secretarial services to the faculty members b. Managing university calendar and scheduling appointments c. Managing teaching and learning supplies for the faculty d. Managing records for the faculty 2. Student’s services a. Assisting the Faculty with student registration b. Preparing student list and distributing them to the department per semester. c. Maintaining student’s records and files. d. Maintaining complete inventory of each student regarding required number of courses. e. Assisting in interpretation of student registration policies to faculty and students. f. Assisting in compiling data, such as class schedules and graduation lists g. Assisting in preparation of official transcripts |
3. Examinations a. Preparing examination rooms and stationery b. Arranging for external examiners accommodation and transport c. Entering students results from departments d. Writing students results letters. e. Compiling list of students to graduate during the year |
4. Student Loans a. Assisting the Loan Trust Fund with application of student loan. b. Writing to students informing them the deadline for submission of application forms for student loans c. Receiving application from students for loans d. Compiling list for submission to Student Loan trust fund |
5. Other a. Assisting with students Accommodation by advising available facilities. b. Attending to students’ welfare matters and in liaison with the Registrar’s office.. c. Assisting international students with important information with a regard to accommodation, medical, travel etc. |
