Job Description
The Lilongwe University of Agriculture and Natural Resources (LUANAR) is implementing a five-year
Participatory Action Research for Greening and Growing Malawi (PAUCHI) Project co-funded by
the European Union and the Malawi Government. LUANAR seeks to recruit a Project Officer and an
Administrative Secretary tenable at Bunda College Campus to enhance effective implementation
of the Project. Applications are invited from suitably qualified and experienced candidates to be
considered for appointment on contract for the duration of the Project subject to satisfactory
annual performance and availability of funding.
Administrative Secretary
MAIN DUTIES AND RESPONSIBILITIES:
The Administrative Secretary will be responsible to the Project Officer in the effective and efficient
performance of his or her duties and responsibilities.
a. Assist with establishment and operationalization of PAUCHI Project Office;
b. Establish and maintain filing system of the Project Office;
c. Facilitate communication among Project Team Members and with all units of the University as
well as relevant external stakeholders;
d. Provide specialized administrative transactions and processes such as type, record and transcribe
meeting minutes, draft correspondence messages, and/or format documents;
e. Prepare transactional documents in support of general operations processes and support
coordination of transaction processing of the Project;
f. Provide logistical support for project activities and events;
g. Schedule and coordinate appointments for Project Team Members;
h. Maintain inventory of Project assets and material resources; and,
i. Perform any other duties as assigned by the Project Director.
QUALIFICATIONS, EXPERIENCE, SKILLS AND PERSONALITY
MODE OF APPLICATION:
a. At least a Diploma in Secretarial Management, Business Administration or related field with from
an accredited institution plus an MSCE with credit in English;
b. Must be good in Microsoft Office applications (including Word, Excel, and PowerPoint), multimedia
communication tools, and use of various office equipment;
c. Must have typing speed of 50 words per minute and shorthand speed of 120 words per minute;
d. At least 5 years of relevant experience of administrative/secretarial service in similar environment;
e. Good task and time management skills with ability to work on multiple tasks (multi-tasking skills;
f. Good knowledge and skills in customer service, interpersonal relationships, conflict management
and resolution,, and written and oral English;
g. Demonstrated knowledge and skills in office record management;
h. Ability to work independently and collaboratively with minimal supervision;
i. Impeccable integrity; and,
j. Willingness to work extended hours when necessary.
