Link Community Development is a family of organizations working in Malawi as well as Ethiopia, Rwanda, and Uganda. Link Education International based in the UK, provides support with programme and finance management, governance, communications, and fundraising.

Link Community Development Malawi (LCDM) works to improve access to and the quality of education in Malawi. Since 2006, we have worked with schools to improve the lives of children through unique and effective school improvement models. We support Malawi Government and educators to adopt low-cost solutions to improve learning and support children, with a focus on literacy, numeracy, and inclusion for the most marginalized.

The following vacancy has arisen at LCDM:

Job Title:                Communications and Administration Officer

Accountable to:     Team Leader 

Location:               Lilongwe

JOB PURPOSE:

The purpose of this position is to provide support to a dynamic team, to ensure the efficient documentation of projects results, communication of the same and supporting day-on-day office administration. The COA will be responsible for managing a wide variety of communications aspects, and clerical / administrative tasks to provide professional, responsive, and efficient support to senior staff within Link Community Development Malawi and Link global family of organizations.

AREAS OF KEY RESPONSIBILITIES: 

Communications and Programs Assistant roles

  • Capture and document project success stories in various formats – photography, case studies, blogs, articles, newsletters, websites, social media, media papers etc.
  • Manage the social media platforms of the organization
  • Design and produce information education and communication materials from time to time such as fliers, brochures, leaflets, banners etc.
  • Prepare briefing packs for senior staff in advance of key meetings and events, and support the preparation of meeting papers and presentations, including formatting and proofreading.
  • Coordinate team, consortium, and partner meetings, including booking meeting rooms, preparing materials, video conferencing, sending meeting invitations, arranging agendas, taking minutes, and chasing action points.

Administration Roles

  • Maintain extensive diary management, including booking travel, accommodation, and scheduling meetings with consortium and government partners.
  • Efficient management of email communications, including prioritising, responding, and ensuring timely follow up.
  • Review, manage and maintain the filing system in hard and soft copy.
  • Provide logistical and administrative support to project activities and events as and when required.
  • Undertake office finance administration including procurement, processing invoices and expense claims.
  • Provide logistical support to visitors, including donor representatives and evaluation teams.

Program Development

  • Contribute to the development and updating on annual budgets for communications and office administration.
  • Actively participate in monthly management meetings or consortium meetings and undertake supportive roles e.g. taking minutes, consolidating reports etc.
  • Contribute to the development of new projects and funding proposals

Additional Roles

  • Represent Link Malawi at all events and meetings as required
  • Any other activities as assigned by line manager or other senior staff from time to time.
