Event Services Officer
Reporting to Managing Director, through Technical/Assistant Manager
OVERVIEW
The Event Services Officer position is a driving force behind keeping the Company’s business vibrant, in terms of promoting business growth, keeping expenses under control, and reducing cost. A successful ESO is a highly prized individual at Peak Events. The has provision for special effort rewards at the discretion of Management linked to clearly identifiable work targets and deliverables, especially related to the delivery of contractual events.
You will be required to spend a considerable amount of time on event services: planning, budgeting, and implementing processes related to events and recommending improvements; contacting clients for business opportunities and feedback on services rendered; developing, marketing and advising on the company’s business brand for event services, including branding materials; support event bookings, invoicing and delivery with logistical services; facilitate general supervision of event venues (on-site and outside venues), event equipment and set-up; assist with general maintenance and supervision of event related and garden materials. You will work mostly office hours with some limited weekend shifts at times.
DUTIES AND RESPONSIBILITIES
- Facilitating the development of the company’s events business brand, using branding materials and updates in relevant types of media and electronic platforms
- Keeping robust customer base, identifying and following up business opportunities like conferencing, workshops, ceremonies etc. This will involve communicating products and services for hire to prospective clients
- Work on event planning and management activities like budgeting, venue set-up, identifying service providers, guest arrangements, speakers, photographers, etc.
- Conducting regular research and updates on suppliers or vendors (catering, decorators, musicians, MCs, etc.) and advise the best combination for quality and cost
- Collecting market information, especially on competitors and their practices, innovations, trends, etc.
- Supervising and monitoring actual events, including problem-solving, directing event set-up, communicating with staff, organizing vendors, and managing take-down.
- Identifying equipment and material requirements for events and facilitating logistics support
- Support bookings and invoicing and collecting payments for events in a timely manner, and creating financial. reports for each event. Familiarising with all business activities including gardening, stores, procurement.
- Provide assistance in checking and fixing faults in equipment for events, gardens, and offices.
- Providing management with feedback: written and verbal reports, presentations
- Such other related duties as may be reasonably requested by Management
QUALIFICATIONS AND EXPERIENCE
Personal attitude and qualities like respect for others, listening and learning, willingness to get things
moving count for more than formal qualifications in this job. Generally, suitable candidates should be
educated to at least degree level, with advantage for those having some team leadership and marketing
experience.
Self-confidence, networking and presentation skills are important assets. In general, you should have:
First Degree in Social Sciences, Business Management, Hospitality management, Event planning,
or Marketing, or relevant field is preferred
- Event planning, sales or marketing experience an advantage.
- Team working skills.
- A good understanding of marketing principles
- Good communication skills
- Ability to take risks and initiative
- A valid driving license
