We are looking for a passionate and suitably qualified candidate to fill the following vacancy.

 Job Title:  Finance and Administrative Assistant

Job Specification: 

A Finance and Administrative Assistant will be responsible for providing support in various financial and administrative tasks to ensure efficient operation within an organization She/ he will also support with the coordination of international volunteers when in the country to ensure that itineraries are properly adhered to.

Key Responsibilities

1. Financial Management:

  • Accounts Payable/Receivable: Process invoices, payments, and receipts in a timely manner.
  • Bank Reconciliation: Perform regular bank reconciliations to ensure accurate financial records.
  • Expense Management: Review and process expense claims and reimbursements.
  • Data Entry: Enter financial data into accounting software, ensuring accuracy and completeness.
  • Financial Reporting: Assist in the preparation of financial reports, statements, and budgets.
  • Petty Cash Management: Handle petty cash transactions and maintain records.

2. Administrative Support:

  • Document Management: Organize and maintain financial documents, both electronic and physical.
  • Office Supplies: Monitor and manage office supply inventory, placing orders as needed.
  • Meeting Coordination: Assist in organizing meetings, preparing agendas, and taking minutes.
  • Correspondence: Handle incoming and outgoing correspondence related to finance and administration.

3. Compliance and Audit:

  • Compliance: Ensure that all financial transactions comply with company policies and relevant regulations.
  • Audit Support: Assist in preparing documents and reports required for internal and external Auditors.

Qualifications 

  • Diploma in Accounting, Finance, Business Administration, or a related field. A degree is preferred
  • Minimum of 2 year experience in a similar role (environment)
  • Strong attention to detail
  • Ability to handle sensitive and confidential information with integrity.
  • Proficiency in accounting software (e.g., QuickBooks, Xero accounting ).
