PATH Malawi seeks a Finance Assistant to provide financial and administrative support to its projects. Under the guidance, supervision and direction of the Site Administrator, the AP Finance Assistant’s specific responsibilities include but not limited to:

Responsibilities:

  • Receives funds requests from staff and review for correct approvals, allowability and allocability of expense and completeness documentation of financial transactions in compliance with PATH and donor regulations prior to data entry into the accounting system within a reasonable time.
  • Data entry of financial and accounting data into the accounting system and create payment vouchers for approvals.
  • Responsible for issuance of Petty cash and codification of expenses, ensuring petty cash funds is always available.
  • File all project financial documents.
  • Track advances in accordance with advance policy and notify staff of outstanding advances.
  • Serve as back-up support to the Site Administrator when requested.
  • Review workshop/ trainings/meetings expense reconciliations and verification of attendance lists and the payments made for each training.
  • Assist with audits pulling out & refiling documents, preparing and processing various adjustments & schedules as required.
  • Assist with monthly and annual accounting closes.
  • Assist Site Administrator on annual inventory taking and quarterly supplies replenishments
  • Upkeep of individual staff inventory records
  • Other tasks as assigned.

Required Skills and Experience:

  • Bachelor’s degree in accounting or business-related field.
  • Minimum of 3 years in an international organization, USAID experience preferred.
  • Thorough knowledge of applicable USAID rules and regulations.
  • Proficiency in MS Office applications including word and excel, hands on work experience with QuickBooks-Multi currency.
  • Proficiency in accounting software (e.g., QuickBooks, SAP, Oracle)- Unit4 preferred and Microsoft Office Suite (Excel, Word).
  • Excellent computer skills in Microsoft Office, Unit4 preferred.
  • Well-organized and attention to details.
  • Proven interpersonal skills and ability to work effectively in a team.
  • Ability to maintain harmonious working relationships and effectively address finance issues throughout the projects.
  • Good understanding of Generally Accepted Accounting Principles (GAAP).
  • Experience with non-profit accounting principles and procedures.
  • Excellent organizational & communication skills and ability to manage and complete multiple tasks simultaneously, capable of rapid coordination and distribution of information
  • Ability to analyze financial data and prepare accurate transaction records in a timely fashion.
  • Ability to work independently with a high degree of reliability, accuracy and productivity.
