COMMUNITY DEVELOPMENT PROGRAM OFFICER

Gala Agriculture Company Ltd, one of the country’s leading macadamia producing business, operates 12 estates in the Lilongwe District, is looking to recruit an experienced, highly dynamic, motivated and skilled individual as Human Resource and Administration Officer.

Position Summary

The core of the role will be planning regarding the human resources, development of company’s workforce and transforming all policies into executable plans and development procedures. Overseeing personnel and daily operations of the human resource department such as hiring personnel, providing support to company employees regarding personal and professional incidents.

Duties and Responsibilities

  • Translating polices and ensuring that employees follow all policies and procedures.
  • Creating recruitment and selection plans, interview schedules, evaluating standards in accordance with HR methodologies in line with labour laws.
  • Overseeing exit interviews and procedures.
  • Managing workers compensation by liaising with Labour Office and Insurance brokers
  • Performance management systems.
  • Management of employee pension fund such as new entrants, following up on pension statements, compiling monthly pension schedules and processing pension claims.
  • Suggesting changes in policies and procedures based on employee and company needs.
  • Assist in tracking absences, overtime, leave, loans and advances etc
  • Communicate with public service i.e. Labour office, Industrial Relations Court, etc. when necessary.
  • Track record new hires, transfers, terminations and changes in job location and classification.
  • Orients new employees by providing information and translating company code of conduct.
  • Assist in training courses.
  • Employee discipline such as organizing and sitting in disciplinary hearings.
  • Perform data entries, create spreadsheets and taking minutes during meetings.
  • Prepare and modify documents including correspondence, reports, drafts, memos, emails.
  • Schedule and coordinate meetings, appointments, and interviews.
  • Compiling and updating employee records (hard and soft records) such as leave.
  • Process documentations and prepare reports relating to personnel activities (staffing, recruitment, grievances, disciplinary hearings, and performance evaluation.
  • Maintain confidentiality of pertinent information to to ensure personnel rights are always protected.
  • Employee audit to ensure that payrolls are free form ghost workers and employee figures are in line with employee budget
  • Reporting to Senior Head of HR and Administration Manager

Required Education and Experience

  • Malawi School Certificate of Examination.
  • Bachelor of Science Degree in Human Resource/ Business Administration or any related qualification. At least 5 years hands on working experience a very busy HR office.

Required Skills and Attributes

  • Excellent written and verbal communication skills.
  • Must have experience in using computers i.e. Outlook, office power point, office excel and office word.
  • Must be willing to perform additional tasks and duties outside of the above job description.
  • Must be prepared to stay in the remote areas.
  • Must have Class A Motorcycle valid licence with more than 3 years riding motorbike experience.
