Job Title : Logistics Coordinator
Reports to : Program Manager
Location : Southern Region
Project Duration : 6 months
ROLE PURPOSE
Primary function of the Logistics Coordinator is day-to-day implementation of projects activities or interventions at national level. S/he will manage the work plans envisaged in the effective and efficient logistics operations and activities, such as contracting, finance management, on-demand logistics services and warehousing operations.
KEY ROLES AND RESPONSIBILITIES
Program management:
- Participate in the creation of logistics procedures and plans to guarantee adherence to World Relief standards and broader logistics policies.
- Assist with day-to-day operations and logistical projects while adhering to standard procedures and directly or indirectly supporting the efficient distribution of food assistance to recipients and trainings
- Gather and evaluate information by conducting research and collaborating with peers in order to suggest measures to the manager that will enhance the effectiveness of logistics operations.
- Participate in budget reviews and financial analysis, extracting insights and suggesting courses of action to the supervisor to maximize the utilization of available funds.
- Lead the support team by serving as a point of reference and helping them with questions and analysis.
- Compile information and assist in the timely and accurate creation of reports, offering a broad perspective of logistics activities for the WR that promotes consistent information delivery to stakeholders and educated decision-making.
- Encourage the development of WR employees’ and partners’ capacity to provide food assistance to beneficiaries in an efficient and effective manner (e.g., by contributing to training materials).
- To help an integrated strategy to food assistance, trainings, identify and cultivate fruitful partnerships with logistical coworkers and personnel.
- Adhere to emergency logistics readiness protocols to guarantee that WR can promptly react and distribute food and essential supplies to impacted regions at the outset of the event.
- Respond to emergencies in the designated emergency response capability as needed
Accountability:
- Oversee the logistics operations division and serve as the main point of contact for other units to coordinate the planning and execution of distribution.
- In charge of overseeing warehouse operations and making that WR standard systems are kept up to date at all warehouses.
- Accountable for overseeing logistics contracting procedures in compliance with company guidelines, such as roster maintenance, RFQ development, contract execution, and performance evaluation.
- Oversee and supervise all aspects of financial management, including planning, executing, and reporting invoices, as well as budgeting.
- Verify the existence and functionality of the systems for quality control and commodity management.
- Take part in Logistics Capacity Assessment (LCA) exercises to guarantee that LCAis completed on schedule.
- Supervise on demand services including execution of service level agreements, processing requests and implementation of logistics service delivery.
MEAL:
- Support assessments, baseline and evaluation studies, documentation of projects case studies, putting in place a functional activity tracking table
- Prepare and provide regular monthly progress reports in coordination with the MEAL Coordinator
- Monitor and ensure that projects quality bench marks are satisfied
- Collect and manage complaints and feedback in coordination with CFM focal person
- Monitor projects activities to ensure quality, timeliness and adherence to WRiM policies and procedures
Internal and external engagements:
- Represent the Project at impact area level forums and any other engagements
- Develop and maintain regular channels of communication with partners and key stakeholders at impact area level
QUALIFICATIONS
- University Degree in Logistics, Business Management, Supply Chain, or other related field
EXPERIENCE AND SKILLS
- 3 years working experience in a busy nongovernmental organization
- Demonstrated experience in development and management of food security projects including food assistance projects with firm grounding in community mobilization
- Knowledge of Logistics policies, processes, and systems in the country as well as goverment and non-government actors.
- Ability to interact skillfully and diplomatically a wide range of stakeholders
- Practical experience working within relevant ministries preferred
- Proficiency in writing technical and programmatic reports
- Experience of financial planning and expenditure monitoring as well as budget management
- Experience of community participation, ownership and empowerment.
- Ability to work effectively with government, community leaders, international/national organizations, donors, partners and other relationships
