Company Overview:

Telekom Networks Malawi (TNM) Plc, one of the leading telecommunications companies in Malawi, is
seeking to hire a results-oriented individuals to fill the following vacant positions:

Position: Procurement Coordinator

Grade: C3
Reports to: Senior Manager, Procurement & Supply Chain
Location: Blantyre
Division: Finance

Role Overview:

Reporting to the Senior Manager, Procurement & Supply Chain, the Procurement Coordinator will be
responsible for executing efficient procurement processes focusing on cost-saving initiatives, timely
sourcing of goods and services, and building strong relationships with suppliers to ensure that the
company’s operational needs are met. The candidate will be measured against key deliverables and
performance indicators to ensure alignment with the company’s strategic objectives.

Key Deliverables:

  • Cost Reduction: Achieve targeted cost reductions in procurement through strategic sourcing, price negotiations, and process improvements.
  • Supplier Management: Develop and maintain strong supplier relationships to ensure timely delivery of goods and services, while optimizing quality and price.
  • Procurement Efficiency: Implement streamlined procurement processes to reduce procurement
    cycle times and ensure that the company benefits from improved turnaround times.
  • Contract Compliance: Ensure that all procurement contracts are aligned with company policy,
    including terms that support the turnaround strategy’s cost control and operational objectives.
  • Procurement Reporting: Develop and maintain procurement reports and dashboards that provide clear visibility into spending, savings, and procurement performance.

Key Performance Indicators (KPIs):

  • Cost Savings: Achieve cost reduction on targeted procurement categories.
  • Procurement Cycle Time: Reduce the average procurement cycle time by implementing efficient
    processes and tools.
  •  Vendor Performance: Maintain a reasonably high supplier performance rating based on timely
    delivery, quality of goods/services, and adherence to contract terms.
  • Compliance Rate: Ensure compliance with procurement policies, regulations, and contractual
    obligations.
  • Process Improvement: Identify and implement process improvements that lead to greater
    procurement efficiency and cost savings.

Key Responsibilities:

  • Execute day-to-day procurement activities, ensuring the timely and cost-effective sourcing of
    goods and services in line with company needs.
  • Negotiate with suppliers to secure favorable contract terms that align with the company’s
    turnaround strategy, focusing on quality, pricing, and delivery timelines.
  • Monitor vendor performance, regularly evaluating and reporting on supplier quality, delivery, and compliance with contract terms.
  • Implement procurement best practices and tools to optimize procurement processes, reducing
    cycle times and increasing process transparency.
  • Maintain accurate procurement records, including contracts, purchase orders, and delivery
    schedules, ensuring all documents comply with company policies.
  • Prepare procurement performance reports, highlighting KPIs and identifying opportunities for
    continuous improvement.
  • Conduct market research to identify new suppliers, trends, and opportunities for cost reduction.
  • Collaborate with finance and operations teams to forecast procurement needs and align
    procurement activities with budgetary constraints and business requirements.

Qualifications and Experience:

  • Bachelor’s degree in Procurement or Supply Chain Management. A professional certification (e.g. CIPS) is an added advantage.
  • Valid membership to the Malawi Institute of Procurement and Supply (MIPS)
  • At least 3 years of experience in procurement, preferably in the telecommunications or technology sector.
  • Strong understanding of procurement processes, supplier management, and contract negotiation.
  • Proven track record in delivering cost-saving initiatives and improving procurement efficiency.
  • Experience with procurement software and tools, and proficiency in Microsoft Office.

  • Strong negotiation and communication skills, with the ability to build and maintain strong
    relationships with suppliers and internal teams.
  • Analytical skills with the ability to identify opportunities for cost reduction and process optimization.
  • Excellent organizational skills, with the ability to manage multiple priorities and work under tight deadlines.
  • Strong understanding of procurement compliance, ethical sourcing, and regulatory requirements.
  • A collaborative team player with problem-solving skills and a commitment to continuous
    improvement.
