Job Description

Find Your Feet (FYF) is a local NGO dedicated to working with poor, rural communities to create lasting solutions to poverty. FYF envisions a world in which everyone has the right to build a future free from hunger and poverty and its mission is to mobilise local knowledge and skills, and promote the ownership and use of natural resources by poor rural communities in finding sustainable solutions to hunger, poverty and discrimination.

Job Overview:

The Procurement, Logistics, and Transport Officer at Find Your Feet will play a crucial role in overseeing and managing all aspects related to procurement, logistics, and transportation for the organization. S/he will be responsible for the efficient and timely delivery of goods and services, should also possess strong organizational skills, attention to detail.

Key Responsibilities:

Procurement:

  • Develop and implement procurement strategies to ensure cost-effectiveness and compliance with organizational policies.
  • Consolidate the projects procurement plans in raison with project coordinators and also act as a custodian of the procurement plan.
  • Source and evaluate suppliers in line with the prequalified list of suppliers, negotiate contracts, and manage relationships with vendors.
  • Maintain accurate and up-to-date records of procurement transactions.

Logistics Management:

  • Coordinate the movement of goods, supplies, and equipment for various programs and projects.
  • Optimize transportation routes and ensure timely delivery to project sites.
  • Work closely with program managers to understand logistics needs for different initiatives.
  • Will be responsible for the inventory list and FYF asset trucker and database

Transportation Management:

  • Oversee the organization’s fleet of vehicles and ensure compliance with safety and maintenance standards.
  • Provide monthly reports of vehicle to fuel performance for management review and guidance
  • Plan and schedule transportation for staff, materials, and equipment.
  • Monitor fuel consumption, vehicle usage, and maintenance records.

Inventory Management:

  • Maintain an accurate inventory of all goods and supplies.
  • Implement systems for tracking and managing stock levels.
  • Conduct regular stock assessments and report discrepancies.

Compliance and Documentation:

  • Ensure that all procurement and logistics activities comply with organizational policies and local regulations.
  • Maintain documentation for all procurement transactions, including contracts, invoices, and delivery notes.
  • Facilitate the renewal of licenses, permits, and other relevant documents.

Budget Management:

  • Monitor and manage the procurement and logistics budget.
  • Provide regular reports on budget utilization and propose cost-saving measures.

Collaboration and Communication:

  • Collaborate with internal teams, program managers, and external stakeholders to ensure seamless coordination of procurement and logistics activities.
  • Act as a secretary to the Internal procurement committee IPC
  • Communicate effectively with suppliers, transport providers, and relevant partners

Qualifications

  • Minimum of a Bachelor’s degree in Procurement, Logistics, Supply Chain Management, or a related field.
  • Three (3) years proven experience in procurement, logistics, and transportation management.
  • Familiarity with procurement regulations and practices in Malawi.
  • Strong negotiation and vendor management skills.
  • Excellent organizational and multitasking abilities.
  • Good interpersonal and communication skills.
  • Proficient in relevant computer applications
