Program: Building Education Foundations Through Innovation and Technology (BEFIT) Program
Location: Lilongwe/ Ntcheu
Reports To: Program Manager

Job Overview:

The Project Coordinator for the BEFIT Program will be responsible for coordinating and managing the day-to-day activities of the program. The role involves ensuring the smooth implementation of project activities, liaising with stakeholders, monitoring progress, and ensuring that the program’s objectives are met on time and within budget. The Project Coordinator will work closely with the Program Manager, ICT Officer, MEAL officer, Field officers, educators, and other team members to support the integration of innovative technologies in education.

Core responsibilities:

Project Planning and Coordination:

  • Assist in the development and implementation of detailed project plans, including timelines, milestones, and resource allocation.
  • Coordinate and monitor day-to-day project activities to ensure alignment with the project plan.
  • Organize and facilitate meetings, workshops, and training sessions related to the program.

Stakeholder Engagement:

  • Act as the primary point of contact for program stakeholders, including educators, government agencies, and partner organizations.
  • Maintain regular communication with stakeholders to provide updates on project progress and address any issues or concerns.
  • Support the development and maintenance of strong relationships with stakeholders to ensure their ongoing involvement and commitment.

Monitoring and Reporting:

  • Track the progress of project activities against the project plan and timelines.
  • Collect and analyze data related to project performance, outcomes, and impact.
  • Prepare and submit regular progress reports to the Program Manager and other relevant stakeholders.
  • Assist in the development of tools and methodologies for monitoring and evaluating the program’s impact.

Resource Management:

  • Manage the allocation and use of project resources, including budget, equipment, and personnel.
  • Ensure that all project resources are used effectively and efficiently to achieve program objectives.
  • Monitor project expenditures to ensure adherence to the budget and financial guidelines.

Documentation and Administration:

  • Maintain accurate records of project activities, decisions, and communications.
  • Ensure that all project documentation is organized, up-to-date, and accessible to relevant team members.
  • Support the preparation and submission of administrative and financial reports as required.

Risk Management:

  • Identify potential risks and challenges that could impact the successful implementation of the program.
  • Develop and implement strategies to mitigate identified risks and address any issues that arise during the project.
  • Regularly review and update the project risk management plan.

Support for Innovation and Technology Integration:

  • Collaborate with the ICT Officer and educators to support the integration of innovative technologies in educational activities.
  • Facilitate the sharing of best practices and lessons learned related to the use of technology in education.
  • Assist in the development of digital resources and tools to enhance the program’s impact.

Team Collaboration:

  • Work closely with the program team to ensure effective communication and coordination across all project activities.
  • Provide support and guidance to team members as needed to ensure successful project implementation.
  • Foster a collaborative and positive working environment within the project team

Qualifications

  • Bachelor’s degree in Project Management, Education, Social Sciences, or a related field.
  • Minimum of 5 years of experience in project coordination or management, preferably in an educational or technologyfocused program.
  • Strong organizational and multitasking skills, with the ability to manage multiple tasks simultaneously.
  • Excellent communication and interpersonal skills, with experience in stakeholder engagement.
  • Proficiency in project management software and tools.
  • Ability to work independently and as part of a team.

Preferred Skills:

  • Experience in the education sector or working with educational technology programs.
  • Knowledge of monitoring and evaluation methodologies.
  • Familiarity with budget management and financial reporting.
  • Experience in coordinating with government agencies and international organizations.

Working Conditions:

  • This position may require occasional travel to project sites and partner institutions.
  • Flexibility to work outside of regular office hours as needed to meet project deadlines and support program activities
