The Smallholder Farmers’ Fertilizer Revolving Fund of Malawi (SFFRFM) is inviting applications from suitably qualified candidates of Malawi origin to fill the following positions as detailed below:
Job Title: RECEPTIONIST
Department: Human Resources and Administration
Grade: F10
Reporting to: Administration Officer
Responsible for: N/A
PURPOSE OF THE JOB
Being the first point of contact for our clients and visitors, the receptionist plays a crucial role in creating a positive and professional image of the Fund. It involves managing front desk operations, handling administrative tasks, and ensuring that the office runs smoothly.
KEY DUTIES AND RESPONSIBILITIES
a. Greet and welcome visitors, clients, and employees in a friendly and professional manner and directing guests accordingly.
b. Answer and route incoming calls, taking messages as necessary.
c. Receiving, recording and Handling incoming and outgoing mail and packages.
d. Maintain the front desk area, ensuring a tidy and organized environment.
e. Assist with administrative tasks such as data entry, filing, and maintaining records.
f. Provide information and support to clients, addressing inquiries and directing them to appropriate resources.
g. Coordinate facility management tasks, such as ordering office supplies and coordinating repair requests.
h. Process visitor badges and maintain security protocols.
i. Support other administrative staff as needed.
QUALIFICATIONS AND WORK EXPERIENCE
a. Diploma in Business Administration or Management from a reputable institution additional certification in Office Management is a plus.
b. At least three (3) years of work experience in an organization of comparable size and complexity.
c. Proven experience as a Receptionist or in a similar administrative role.
d. Proficient in Microsoft Office Suite (Word, Excel, Outlook) and other office software.
e. Excellent communication skills, both verbal and written.
f. Strong organizational and multitasking abilities.
g. Friendly and professional demeanor with a customer service focus.
h. Ability to handle sensitive information with confidentiality.

- Mature and well-disciplined with pleasant and courteous personality.
- High level of confidentiality.
- Ability to work with minimum supervision and use of own initiative.
- Excellent oral and written communications skills.
- Experience of establishing and maintaining office systems.
- Flexibility and able to work under pressure to meet deadlines.
- Excellent word processing skills
