Good Neighbors International-Malawi (GNI) is an international humanitarian and development organization in General Consultative Status with the United Nations Economic and Social Council (UN ECOSOC) with its headquarters in Seoul, Republic of Korea. Good Neighbors implements various community development projects within the following sectors; Health, Education, Water and Sanitation, Agriculture and Social Welfare (advocacy for children’s rights other livelihood projects and emergency response. In order to efficiently and effectively execute its duties, GNI is inviting applications from suitably qualified, passionate, dynamic, pro-active and experienced candidates to fill the following existing vacant positions as follows:
Job Title : Stores Clerk
Location: Head Office, Lilongwe, Malawi
Line reporting: Administration Manager
KEY JOB RESPONSIBILITIES
- Inventory Management; -Ensure accurate records of all items in stock, maintain stock levels, and update inventory systems regularly.
- Receiving Goods; -Inspect and verify all incoming goods against purchase orders and delivery notes to ensure accuracy.
- Issuing Materials; -Coordinate the issuance of materials or supplies to various departments and ensure proper documentation.
- Stock Control; -Conduct periodic stock counts and reconcile physical stock with inventory records to identify discrepancies.
- Record Keeping; -Maintain detailed and up-to-date records of stock movements, including receipts, issues, and returns.
- Quality Control; -Inspect goods for quality and report any damaged or defective items to the relevant department.
- Storage Management; -Organize and maintain the storage area for optimal space utilization, cleanliness, and easy retrieval of items.
- Procurement Support; -Collaborate with the Procurement Officer to reorder supplies when stock levels are low and prevent stock-outs.
- Compliance; -Ensure compliance with organizational policies, donor requirements, and applicable procurement regulations.
- Asset Management; -Track and maintain a record of all non-consumable items and ensure proper storage and accountability.
- Supplier Coordination; -Liaise with suppliers to ensure timely delivery and address any issues related to quality or quantity.
- Reporting; -Prepare and submit regular reports on stock levels, usage trends, and inventory discrepancies to management.
- Security of Goods; -Safeguard inventory from theft, damage, or loss by implementing strict access control and monitoring systems.
- Team Collaboration; – Work closely with other departments to align inventory management with organizational needs and project demands.
- Continuous Improvement; – Propose improvements to storage and inventory management processes for enhanced efficiency and cost-effectiveness.
Qualification and Experience
- Bachelor’s Degree in Procurement and Supply Chain Management,
- Logistics, Business Administration, or a related field.
- Certification in procurement or supply chain management (e.g., CIPS, CPSP) is an added advantage.
- At least 2-3 years of relevant experience in storekeeping, inventory management, or warehouse operations.
- Strong knowledge of inventory management systems and techniques.
- Proficiency in inventory software and Microsoft Office Suite (Excel, Word).
- Good verbal and written communication skills for reporting and liaising with teams.
- High ethical standards and the ability to handle sensitive information with discretion.
- Understanding of procurement and stores management regulations, especially in the NGO sector.
